When goods leave storage, the next move depends on more than having a carrier at the door. The correct pallets must be identifiable, the release must be authorized and the collection arrangements must match the shipment.
Use this guide to prepare that handoff. It is a planning checklist, not confirmation that a particular load, packaging method or transport service has been accepted.
Identify exactly what is leaving
Start with the pallet or product references and quantities. If only part of the stock is leaving, distinguish the outgoing goods from the balance that must remain. Match the release instruction to the references used when the goods arrived.
For an illustrative example, a business may have ten pallets in storage but need three for its next order. “Collect our stock” leaves the quantity open to interpretation; a release listing the three specific pallets gives the team a usable instruction.
Review the prepared load
Confirm the loaded dimensions and weight, including packaging. Ask whether any repacking, labeling or other handling is required before collection, and whether that work is available within the agreed scope.

Use a collection checklist
- Release reference and the person authorizing it.
- Pallet identifiers and exact outgoing quantities.
- Carrier name and reachable contact.
- Requested collection date or window.
- Destination and accompanying documents where required.
- Any special access or handling arrangements.
If the date changes, update both the warehouse and transport contacts. A revised pickup message should make clear which earlier arrangement it replaces.
Close the record after pickup
Ask how the collection and remaining balance will be recorded. Keep the release reference with the outgoing shipment so you can connect the stock record to the transport handoff later.
